Privacy Policy
Last updated: August 12, 2026
This Privacy Policy explains how Dakar Projects LLC (“Dakar Projects,” “Roddy HQ,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with the Roddy AI receptionist platform and the website at roddyhq.com (collectively, the “Service”).
Plain-language summary. Roddy is an AI receptionist that answers phone calls for businesses. To do that, we record and transcribe phone calls, process them with AI, and store call details so the business can see what was said, book appointments, and follow up. We don’t sell personal information. If you’re a caller and don’t want to be recorded, please hang up and contact the business another way.
Contents
1. Who we are & who this covers
The Service is operated by Dakar Projects LLC, a limited liability company organized in the State of Texas, United States. This Policy applies to two groups of people:
- Customers — businesses and their authorized users who create an account to use Roddy as their receptionist.
- Callers — people who place or receive phone calls that Roddy answers or handles on a Customer’s behalf, and people who use a Customer’s chat widget powered by Roddy.
For call and message content, the Customer (the business whose line was called) is generally the “controller” of that data, and we act as a service provider/processor on their behalf. If you are a Caller and have questions about how a particular business uses your information, please contact that business directly.
2. Information we collect
Information Customers provide
- Account & profile: name, email address, password credentials (via our authentication provider), business name, business phone number(s), business hours, services offered, service area, and receptionist configuration.
- Calendar connection: Google account authorization (OAuth tokens) used to read and write appointments on calendars you connect.
- Payment & payout details: information processed through our payments provider for billing and, where applicable, employee payouts.
- Support communications: messages you send us.
- Intake form submissions: if you fill out the “Get started” form on our public marketing page, the contact and business details you enter — name, email address, phone number, company information, calendar preference, and anything you tell us about your business. We store this in our database and use it to reach back out and set up the Service for you; we do not use it for advertising.
Information we collect from calls & interactions
- Transcripts of conversations Roddy handles, and voicemail recordings where a caller leaves a voicemail. For calls Roddy answers, the call audio is not retained — see Call recording & transcription.
- Caller details: the caller’s phone number, any name the caller provides, and information the caller shares during the call (e.g., appointment requests, reasons for calling, messages).
- Call metadata: date, time, duration, call direction, routing/outcome, and an AI-generated summary and sentiment.
- Appointment data: details needed to schedule, reschedule, or cancel appointments on a connected calendar.
- Chat widget messages, where a Customer deploys the Roddy chat widget on their site.
Information collected automatically
- Technical data: IP address, device and browser type, and log data when you use our website or dashboard.
- We use strictly necessary cookies/local storage to keep you signed in.
- Advertising cookies on our public marketing page. Our public marketing page at callroddy.com uses the Meta (Facebook) Pixel so we can measure how our advertising performs — for example, whether someone who arrived from an ad went on to tap our demo phone number. It sends your IP address, device and browser information, and the page actions you took to Meta Platforms, Inc., which may match that activity to a Facebook or Instagram account and use it to measure, optimize, and target advertising. This runs only on our public marketing page: it is not present on the signed-in dashboard, the admin panel, the login page, or the chat widget, and it has no access to call recordings, transcripts, appointments, or any other Customer or End-User data. You can turn it off at any time — see Your rights & choices.
3. Call recording & transcription
The core function of the Service is to answer and process phone calls. As part of this, calls handled by Roddy are transcribed, and the transcript and derived data (summary, sentiment, detected intent, appointment details) are stored for the Customer. What happens to the audio depends on which path the call takes:
- Calls answered by Roddy (the normal path) — audio is not retained. Call audio is streamed to our speech provider so it can be converted to text in real time, and is not stored as a recording by us afterwards. What persists is the written transcript and the data derived from it.
- Voicemail — audio is recorded. If a call falls through to voicemail, the caller’s message is recorded and transcribed by our telephony provider (Twilio). That recording is stored by Twilio and we keep a link to it, plus the transcription, so the Customer can play or read the message.
- Live audio in transit. During a call, audio necessarily passes through our telephony and speech providers (see Service providers) in order for Roddy to hear and answer.
We may add optional call-audio recording for AI-handled calls in future. If we do, we will update this Policy and it will be something a Customer turns on, not a silent default.
Notice and consent. Call-recording laws vary by state and country — some require that all parties consent to recording. Each Customer is responsible for providing any legally required notice and obtaining any required consent from callers, and for using the Service in compliance with applicable laws. Where Roddy plays a recording/notice announcement, it does so to support (not replace) the Customer’s compliance obligations. If you are a caller and do not consent to being recorded, please end the call.
4. How we use information
- Operate the Service: answer calls, hold conversations, book and manage appointments, take messages, and transfer or escalate calls.
- Generate transcripts, summaries, and sentiment analysis, and deliver call notifications and reports to Customers.
- Authenticate users, provide the dashboard, and process billing and payouts.
- Maintain, secure, debug, and improve the Service.
- Communicate with Customers about the Service and respond to support requests.
- Comply with legal obligations and enforce our terms.
5. AI processing
Roddy uses third-party artificial-intelligence providers to convert speech to text, generate spoken and written responses, and analyze calls. Call audio, transcripts, and related content are transmitted to these providers solely to provide the Service. We do not authorize the use of Customer or Caller content to train these providers’ general models, and we rely on the providers’ API terms for such handling. AI systems can make mistakes; AI-generated summaries, bookings, and responses may contain errors and should be verified.
6. How we share information
- With the Customer: call recordings, transcripts, messages, and related data are made available to the business whose line was called (and its authorized users).
- Service providers / subprocessors: the vendors listed below, who process data on our behalf to deliver the Service.
- Legal & safety: when required by law, subpoena, or to protect the rights, property, or safety of users, the public, or us.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets.
We do not sell personal information, and we never share any data from the Service for advertising. Call recordings, transcripts, messages, appointments, and account information are never used for advertising or marketing of any kind, by us or by anyone else.
Marketing-page advertising data. Visitors to our public marketing page are covered by the Meta Pixel described in section 2. Under the California Consumer Privacy Act (as amended by the CPRA) and the Texas Data Privacy and Security Act, sharing that browsing activity with Meta for advertising purposes counts as “sharing” for cross-context behavioral advertising and as processing for “targeted advertising,” and we disclose it on that basis. The only information involved is marketing-page browsing data — IP address, device and browser information, and which page elements you interacted with. No data from the Service described in sections 3–5 is ever involved, and we do not use this data to make decisions that produce legal or similarly significant effects. You may opt out at any time, free of charge and without any effect on your use of the Service, using the controls in Your rights & choices.
7. Service providers (subprocessors)
We use the following categories of providers to operate the Service. This list may change as the Service evolves.
| Provider | Purpose |
|---|---|
| Twilio | Telephony — phone numbers, call routing, and call media |
| LiveKit | Real-time voice/SIP session infrastructure |
| OpenAI | Speech and language AI — conversation, transcription, and post-call analysis |
| Deepgram | Speech-to-text (alternate voice pipeline) |
| Cartesia | Text-to-speech (alternate voice pipeline) |
| Calendar scheduling (with your authorization) and chat-widget AI | |
| Supabase | Database and account authentication |
| Microsoft | Outlook/Microsoft 365 calendar scheduling (with your authorization) |
| Resend | Transactional email — booking confirmations, message and escalation notifications |
| Stripe | Payment and payout processing |
| DigitalOcean | Backend server hosting |
| Vercel | Website and application hosting |
| Meta Platforms | Advertising measurement on our public marketing page only (see sections 2 and 6) — no access to Service data |
8. Google API data
If you connect a Google account, the Service requests access to your Google Calendar to read availability and create, update, or cancel appointments. Roddy’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We use Google data only to provide and improve user-facing features of the Service, do not transfer or sell it for advertising, and do not use it for any purpose other than the calendar functionality you authorize. You can disconnect Google access at any time from your dashboard or via your Google account permissions.
9. Data retention
We keep a record of calls. Call transcripts, summaries, call details, voicemail recordings and their transcriptions, and appointment records are retained as part of the Service so the business whose line was called has a history of what was said and what was booked. That record is kept for as long as the Customer’s account is active. Account information is retained for as long as the account is active.
We do not currently operate an automatic deletion schedule, so you should assume call records persist for the life of the account. If we introduce a fixed retention period in future, we will update this Policy.
Deletion and copies on request. A Customer can ask us to delete specific call records or their whole account, and can request a copy of the transcripts and call data associated with their account, by emailing admin@dakarprojects.com from the address on the account. Callers who want a copy of, or the deletion of, a specific call should contact the business they called — that business controls its own call records, and we will support it in responding. We may keep limited records where the law requires it, and backups can persist for a short period before they cycle out.
10. Security
We use technical and organizational measures designed to protect information, including encryption in transit, access controls, and reputable hosting and infrastructure providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain processing. Because much call data is controlled by the Customer:
- Customers may access, export, or delete call records from the dashboard, or contact us for help with account-level requests.
- Callers who want to exercise rights over information collected during a call should contact the business they called; you may also contact us and we will route your request appropriately.
Opting out of advertising cookies
You can stop the Meta Pixel described in sections 2 and 6 at any time. Use the button below — your choice is saved on this device and takes effect immediately, and once opted out the pixel is never loaded and no information is sent to Meta.
We also automatically honor Global Privacy Control (GPC). If your browser or a browser extension sends a GPC signal, we treat it as an opt-out request and do not load the pixel — you do not need to do anything else. You may additionally manage ad targeting directly in your Facebook ad preferences, or email us and we will process the request on your behalf.
To make a request, email admin@dakarprojects.com. We will not discriminate against you for exercising your rights, and opting out has no effect on your access to or use of the Service.
12. Children’s privacy
The Service is intended for businesses and is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
13. U.S. data & international users
The Service is operated in the United States, and information is processed and stored in the U.S. and in the regions used by our service providers. If you access the Service from outside the U.S., you understand your information will be transferred to and processed in the U.S., which may have different data-protection laws than your jurisdiction.
14. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, take additional steps where required by law. Your continued use of the Service after an update means you accept the revised Policy.
